How Strategic CRM Data Optimization Achieved 70% Faster Reports and Business Success

A few days back, our expert Data & ML team at Brain Station-23 had the opportunity to analyze, redesign and merge the existing database for a client, adding significant value to their ERP system. Additionally, we helped them to introduce Lead Generation, Opportunity Scoring, Saved Search chatbot by leveraging PostgreSQL, OpenAI and LangChain.

Overall, throughout the journey, we confronted different challenges such as organizing unstructured data, merging databases, keeping the relationship between the master database and other databases and syncing the data across the databases. By introducing the identity column and other merging approaches, we made sure, the existing data is merged, synced and available in the new system, up and running the functions and views perfectly.

Our key contributions and new model have returned excellent upshots, including a 70% reduction in the generating reports related to CRM, a 40% improvement in the time to getting valuable insights, overall all loading time in UI for CRM reduced by 60% and removed bottleneck issues caused by the heavy functions.

While doing the Database merging team encountered challenges having different levels of difficulties. Data cleansing, merging the data and syncing the data are some of the examples.

  • Data Cleansing involved cleaning the bad, wrong, garbage data coming from different old backend jobs, removing redundant data and tables.
  • Data Integration required a deeper understanding of data and logic behind the different databases to consolidate into fewer databases.
  • Data Harmonization was the complex part which made sure data was synced with the master tables and the other related tables

Based on the complexity, we created the data model and by using advanced methodology we overcame the problems.

  1. Data Modeling: Data modeling depends on the condition of the data and the in-between relationship of the tables, which can make the bridge between the tables for organized data.
  2. Data Merging: Define the proper table definition, logic based on the logic and different sources, create script to integrate the data by assuring 0% data loss and data consistency.
  3. Chatbot Implementation: While implementing the saved search chatbot, the introduction of OpenAI and LangChain provided the facility to generate efficient data and data plotting properly.

Furthermore, we are using LangChain as a library and framework for the implementation. Using the functionalities of LangChain’s agents, chains, prompts, and the platform LangSmith, we are designing the solutions and create the workflow for future improvement through fine-tuning.
