01

Overview

Kirei BD sells personalised skincare, haircare and wellness products to women across Bangladesh, combining an online storefront with professional guidance and expert consultation. Founded in 2019, it runs at an annual revenue range of BDT 15–20 crore. Three parts of the business had to be brought together:

As sales grew, the back office stayed on Microsoft Excel and disconnected standalone tools. Financial reporting arrived late, stock sat in separate silos, and reconciling cash-on-delivery revenue collected by courier partners consumed real staff time every week.

Brain Station 23 implemented a unified Odoo 18 Enterprise system over 16 weeks, from January to May 2026, and integrated it directly with the existing storefront.

The point was not to replace the front end that was working. It was to give it a backend: one source of truth for finance, procurement and inventory, with the storefront feeding it automatically.

02

Business Challenges

An e-commerce business can look healthy from the front while the back office runs on manual reconciliation. The orders arrive; it is everything after the order that quietly costs money.

Five pressures shaped the build.

Each of these is survivable at small volume. Together, at growth, they set a ceiling on how many orders the same team can handle.

03

What We Built

The platform is a customised Odoo 18 Enterprise deployment, configured around the parts of this business that standard retail ERP does not anticipate: dual-role contacts, courier-held cash and intercompany transfers.

I

Automated e-commerce API synchronisation

A custom API connection ties the storefront directly into Odoo, so sales orders, customer profiles and stock adjustments stream to the backend automatically and nobody re-enters an order that has already been placed.

II

Unified financial and dual-role accounting

Customer invoices, vendor bills and payment records were centralised in Odoo Accounting, with specialised workflows that combine payable and receivable balances for contacts that are both supplier and buyer.

III

A dedicated courier ledger

A purpose-built ledger workflow inside Odoo Accounting tracks payment API figures against amounts couriers actually collected, with reconciliation actions as the cash lands in the company bank account.

IV

Centralised real-time inventory

Odoo Inventory replaced the spreadsheets, showing precise stock across active warehouses, retail storage and in-transit legs at the same time rather than one silo at a time.

V

Automated intercompany transactions

Matching purchase orders and sales orders now generate themselves whenever product moves between internal business entities, which removes the duplicate entry loop entirely.

VI

Training and controlled cutover

Seven specialised technical training sessions ran alongside thorough user acceptance testing, so staff moved off their spreadsheet habits with minimal downtime.

04

The Results

The system went live inside the 16-week window, and the gains are the ones a growing retailer feels first: visibility, speed of reporting and time returned to the team.

Visibility and control

A single centralised database replaced the scattered systems, giving instant dashboard access across channels. Management can see performance metrics and balance sheets without waiting for manual aggregation, and logistics has real-time clarity over warehouses, retail stores and in-transit stock, which ended the manual stock audits.

Process and compliance

Procurement and vendor pipelines are standardised into clear digital audit trails, making financial tracking straightforward. Repeated data entry loops are gone, courier settlements reconcile against collected cash, and the team can handle higher sales volumes without adding administrative load.

The useful lesson here is about sequence. Kirei BD did not need a new storefront; the front end was already doing its job. What it needed was a backend capable of keeping up with it, and an integration honest enough that the two never disagree about an order.

The awkward details decided the design: contacts that are simultaneously vendor and customer, cash sitting with a courier for days, and stock moving between entities that each keep their own books.

Storefront growing faster than your back office?

You might be reconciling courier payments by hand, keeping stock in spreadsheets, or waiting days for a balance sheet. In every case, the first step is the same.

Book a 30-minute call with Brain Station 23. Bring your storefront, your stock and your reconciliation problem, and we will come back with a proposed Odoo architecture, a delivery plan and a scoped estimate.
