Overview
Ispahani is one of Bangladesh’s most established business houses, with a heritage spanning tea production, distribution, and trading through Ispahani Tea Limited, and yarn/thread manufacturing through Pahartoli Textiles Limited. As both businesses scaled, their operations — tea auctions, blending, textile production, a nationwide 26-division distribution network, procurement, and finance — ran on a mix of spreadsheets and disconnected legacy tools, limiting visibility and slowing decision-making.
Brain Station 23 was engaged to design and implement a unified, Odoo-powered ERP platform covering both group companies under a single architecture, provisioned for 1,000+ user licenses across factory floors, 26 distribution divisions, auction operations, supply chain, and finance. The engagement began with structured discovery workshops and gap analysis, culminating in detailed Software Requirement Specifications that map each business process — from auction catalog entry to blend execution to dealer-level sales — into 10 integrated Odoo modules, four of which are purpose-built custom extensions with no off-the-shelf Odoo equivalent.
Business Challenges
Ispahani’s operations combine two very different, highly specialized businesses under one group, each with process complexity that off-the-shelf ERP configurations don’t natively support:
- Tea auction purchasing — lot cataloguing, QC classification, brokerage commission, and buyer approval — was tracked manually, with no single source of truth linking a purchased lot to its eventual blend and finished product.
- Blending and production had no system-level link between raw lot consumption, Semi-Finished Goods (SFG) creation, and Finished Goods costing, making yield and cost visibility difficult.
- A 26-division, factory → division → depot → dealer/retailer distribution network relied on manual stock indenting and reconciliation, with limited real-time visibility into depot inventory or dealer credit exposure.
- Procurement workflows (Store Requisition, Purchase Requisition, RFQ, Comparative Statement, PO) lacked consistent, value-based approval matrices, creating bottlenecks and compliance risk.
- Import purchases required manual coordination across Proforma Invoice, Letter of Credit, landed cost, and variance tracking, with no automated linkage between commercial and finance teams.
- Finance operations — accounts payable/receivable, fixed assets, depreciation, deferred tax, and budgeting — were not integrated with operational data, forcing duplicate entry and delaying reconciliation.
- Textile manufacturing (Pahartoli) needed its own QC-gated receiving workflow, raw material testing, and lot-wise production costing, distinct from tea operations but required to sit on the same platform.
- Running two group companies as one program meant the platform had to be scalable and role-segmented enough to serve 1,000+ users without cross-entity data leakage.

Brain Station 23’s team ran a full discovery-to-blueprint cycle — stakeholder workshops, process mapping, and gap analysis — before authoring detailed Software Requirement Specifications for both entities. The resulting solution architecture configures and extends Odoo across 10 tightly integrated modules, including four custom-built extensions (Auction Management, Blend Order Management, the Pricing Engine, and Return Management) that don’t exist in standard Odoo:
- Auction Management (custom): bulk catalog import, lot-level QC entry with automatic export/import tax classification, auction purchase approval with auto-generated PO and receipt, and warehouse-to-factory stock transfer with full lot traceability.
- Blend Order Management (custom): blend indents from factory planners, blend order creation against “virgin stock,” lot-locking to prevent double allocation, and blend execution that converts raw lots into Semi-Finished Goods with yield reporting.
- Procurement & SCM: Store and Purchase Requisition with multi-level approval matrices, RFQ-to-vendor-portal workflows, automated Comparative Statement generation, and PO issuance with landed cost and variance tracking for import purchases.
- QC-Gated Receiving: a four-category receiving workflow (Raw Materials, Packaging, Spare Parts, Non-Inventory) routing goods through QC Pending → QC Control → QC Passed → store, using Pull/Push routing rules configured against Odoo’s inventory engine.
- Primary & Secondary Sales / Distribution: a Factory → Division → Depot → Dealer/Retailer model across 26 divisions, with stock indenting, dealer credit limit enforcement, receivables generation on delivery, and secondary (dealer-to-retailer) sales captured for market visibility without touching the financial ledger.
- Custom Pricing Engine: MRP, Trade Price, National and Regional Discounts, Net Price, and Dealer Price computed and applied with division-wise variation and controlled price-change scenarios for new versus existing stock.
- Commercial Sales & Export: Proforma Invoice and Letter of Credit workflows with COO-level approval, LC value enforced as a hard credit ceiling against shipment execution.
- Finance: integrated Accounts Payable/Receivable, Fixed Asset and CWIP management, Straight-Line depreciation, deferred tax tracking, multi-dimensional Budget Management (department, cost center, SKU), and manufacturing costing with real-time WIP valuation.
- Petty Cash, Expense, and Approval frameworks with GL-head and daily-limit controls for field and depot officers, plus a Management Dashboard for cross-entity visibility.
The entire platform is deployed on AWS with PostgreSQL, accessible through web browsers and the Odoo mobile app, and designed to support a 1,000+ user base spanning both Ispahani Tea Limited and Pahartoli Textiles Limited under one program. The engagement is being delivered by a four-person Brain Station 23 team — one Project Manager, two Developers, and one combined Business Analyst/QA resource — against a 10-month, 850-day delivery plan spanning Requirements Analysis, Documentation & Sign-off, Configuration & Custom Development, Internal Testing, UAT, Training, Go-Live, and Post Go-Live Hypercare support.
